The challenge
ZahnWell Wien is a 3-dentist practice in Vienna's 9th district. Like most dental practices, they depended heavily on appointment continuity — a full schedule meant a profitable day; empty slots were pure loss. And they were losing roughly 6–8 appointments per week to no-shows.
The process for managing this was entirely manual. The front desk team, just two people, was spending over 8 hours every week making confirmation calls, chasing patients who hadn't responded, and scrambling to fill gaps on short notice. "We'd call on Monday for a Wednesday appointment, but half the patients didn't pick up. We'd call again Tuesday. By then it was often too late to fill the slot," explained Dr. Markus Bauer, the practice owner.

The solution
We connected Aria to ZahnWell Wien's booking system (Doctolib), their practice email, and SMS gateway. Over a 90-minute onboarding session, we built a reminder workflow tailored to their appointment types — from routine cleanings to root canal procedures, each with different urgency and lead times.
Aria now manages the entire pre-appointment communication cycle without any human involvement:
Automated reminder sequence (SMS + Email)
Every patient receives a personalised reminder at 72 hours, 24 hours, and 2 hours before their appointment. Each message includes the appointment time, dentist name, and a one-tap confirmation link. Reminder tone is warm and professional, in both German and English depending on patient preference.
Smart rescheduling via reply
If a patient replies "cancel" or "reschedule" to any message, Aria instantly sends them available slots and books the new time automatically — no phone call needed, no staff involvement. Cancellations trigger an immediate waitlist notification to fill the slot.
Waitlist slot-filling
When a slot opens — whether from a last-minute cancellation or a no-show — Aria contacts the next patient on the waitlist within minutes and offers the appointment. This alone recovered an average of 2 additional appointments per week that would previously have been lost.
Post-visit follow-up
24 hours after each appointment, Aria sends a follow-up asking for feedback and — if applicable — a prompt to book the next scheduled visit. This has increased rebooking rates and generated a steady stream of new 5-star Google reviews.

How it went live
The results
